FOR HIGHWAY SAFETY COMPLIANCE
With HSS, you gain a dedicated partner committed to supporting you and your drivers. Our mission is to ensure your company remains fully compliant with all FMCSA regulations and requirements. We take pride in diligently meeting our clients’ needs, backed by a proven track record of success. Our team possesses extensive industry expertise, making us highly effective in navigating compliance reviews.
A USDOT compliance review is an audit conducted by state or federal officers to assess your company’s safety and regulatory adherence. During these audits, inspectors thoroughly examine various elements, including driver qualification files, hours-of-service (HOS) logs or time records, drug and alcohol consortium documentation, maintenance and repair records, and—if applicable—hazardous materials training, certifications, and company security plans.
Since 2003, every state is required to perform a scaled-down inspection known as the “New Entrant Safety Audit.” If your company has a new USDOT number, this audit is mandatory. As USDOT regulations evolve, these audits have become increasingly rigorous. Failing a New Entrant Safety Audit can escalate to a full-scale USDOT compliance review and may negatively impact your safety rating. At HSS, we are dedicated to ensuring your company successfully navigates these audits and maintains a strong compliance standing.

What We Offer
OUR SERVICES
We have experience with assisting with roadside inspections, challenges faced by roadside inspections, assistance obtaining USDOT Numbers, MCS 150 updates, 49 CRF Federal Regulations and more.
USDOT Number Registration
A USDOT number is a unique identifier issued by the U.S. Department of Transportation (USDOT) and is required by federal law. It is used by the USDOT, FMCSA, insurance providers, and freight brokers to access your company’s safety and compliance information.
In addition to federal requirements, some states impose their own USDOT or intrastate registration rules. The experts at HSS can assess your specific situation and ensure you meet all applicable federal and state regulations.
MCS-150 Updates
The MCS-150, also known as the Motor Carrier Identification Report, is a mandatory form used to obtain or update a USDOT number. Carriers are required to file MCS-150 updates—commonly referred to as biennial updates—every two years. These updates are a critical component in maintaining an active and compliant USDOT registration.
Equipment Files
Compliance with Federal Motor Carrier Safety Administration (FMCSA) regulations related to equipment maintenance records is essential for motor carriers and commercial drivers. These requirements are in place to promote safety, accountability, and operational integrity within the trucking industry.
HSS offers comprehensive support in managing maintenance schedules, inspection and repair documentation, roadside inspection reports, daily vehicle inspection reports (DVIRs), annual inspection records, and test results.
Failure to maintain accurate and compliant records can lead to fines, heightened audit scrutiny, and even suspension of operating authority. HSS helps ensure your maintenance files are organized, up to date, and fully audit-ready.
49 CRF Federal Regulations
Individuals and businesses engaged in transportation activities are required to comply with the regulations set forth in Title 49 of the Code of Federal Regulations (49 CFR). These regulations are designed to promote safety and prevent costly penalties, covering a wide range of areas such as hazardous materials transportation, motor carrier safety, and pipeline operations.
Oversize Load Permits
Failure to secure the necessary permits can lead to significant delays and, in some cases, vehicle impoundment. At HSS, we stay current with regulatory requirements to ensure your compliance—so you can keep your focus on the road. Please complete this form and send back to us so we can obtain your Oversize Load Permit.
Driver Qualification Files
Highway Safety Solutions (HSS) manages and maintains fully compliant Driver Qualification Files on your behalf. We conduct all federally mandated background and employment verification checks, actively monitor each file, and provide monthly notifications for expiring or renewable documents. By following our guidance, you can be confident that your Driver Qualification Files will be complete and audit-ready at all times.
DataQ Challenges
Widely recognized across the trucking industry, enforcement officers typically conduct inspections either roadside or at ports of entry. These inspections often raise concerns for carriers—particularly when officers request to review driver logs or maintenance records. Unfortunately, many drivers are not adequately prepared for these inspections, which can lead to violations.
Many carriers receive violations without fully understanding where this information is recorded or how it can affect their business. Depending on the severity, a single violation can have consequences ranging from minor to severe—including the possibility of an insurance provider dropping coverage following just one random inspection.
The good news is that most data issues can be addressed. With the right steps, carriers can correct inaccuracies and improve their safety ratings.
Audit Preparation
HSS provides comprehensive support to prepare you and your company for all types of audits—whether it’s a New Entrant Audit or a full-scale Compliance Review. Our team offers expert guidance, serves as your liaison, and will be present whenever possible during the audit process. If your company receives a less-than-satisfactory rating, HSS will work diligently to help improve and upgrade your safety rating.
